What’s inside

One test case template workbook, 11 sheets

Everything a tester needs to plan, write, run and report tests. Frozen headers, filters, dropdowns, colour coding and print-ready layouts are already set up, and every column and dropdown value can be edited.

Sheets in the QA Test Case Template Pack workbook
SheetWhat it does
InstructionsHow to use each sheet, in plain language.
Test CasesThe test case template: 17 columns, with dropdowns for status (Pass / Fail / Blocked / Not Run), priority, severity and test type, plus colour-coded results.
Bug ReportsEnvironment, build, steps to reproduce, expected vs actual, severity, priority, reproducibility, attachments, linked test case and requirement, and a 10-step status workflow.
DashboardLive counts of Pass / Fail / Blocked / Not Run, pass rate, execution progress, a breakdown by priority, bug counts by severity, and charts. Pick any test sheet from a dropdown and everything updates.
Test PlanA one-page plan: objective, scope, approach, environments, entry/exit criteria, roles, schedule, risks, deliverables and sign-off, with guidance text in every field.
Traceability Matrix (RTM)List your requirements; test counts, pass/fail/blocked counts and coverage status (“Not Covered”, “Covered - Failing”…) are calculated from your test cases.
Regression Checklist49 ready-made release checks across authentication, forms, payments, permissions, cross-browser, mobile, performance, security, accessibility, API and deployment, with an automatic “Release ready?” summary.

These are the first three of the 30 example test cases, copied from the “EX - Login Page” sheet (some columns hidden here to fit the page). The example data is fictional.

Three example test cases for a login page
IDTitleStepsTest dataExpected resultActual resultStatusBug ID
TC-LOGIN-001Login succeeds with valid email and password
  1. Open the login page.
  2. Enter a valid registered email.
  3. Enter the correct password.
  4. Click 'Sign in'.
Email: qa.user01@example.com
Password: Valid#Pass123
User is redirected to the dashboard. Username is shown in the header. Session cookie is set.As expected.Pass–
TC-LOGIN-002Login fails with wrong password and shows a generic error
  1. Open the login page.
  2. Enter a valid registered email.
  3. Enter an incorrect password.
  4. Click 'Sign in'.
Email: qa.user01@example.com
Password: WrongPass!1
Error 'Invalid email or password' is shown. User stays on login page. Message does not reveal which field is wrong. As expected.Pass–
TC-LOGIN-003Login fails for an unregistered email
  1. Open the login page.
  2. Enter an unregistered email.
  3. Enter any password.
  4. Click 'Sign in'.
Email: not.registered@example.com
Password: AnyPass#1
Same generic error as wrong password ('Invalid email or password') to prevent account enumeration.Error shown: 'No account found for this email'. Reveals that the email is not registered.FailBUG-101

TC-LOGIN-003 fails on purpose: the error message reveals that the email isn’t registered (an account enumeration risk). It links to example bug report BUG-101, which links back to the test case and to requirement REQ-AUTH-002, so the RTM and dashboard pick it up.

All 17 test case columns

The same columns are used in the workbook and in the CSV import file.

  • Test Case ID
  • Module / Feature
  • Test Title
  • Test Type
  • Preconditions
  • Test Steps
  • Test Data
  • Expected Result
  • Actual Result
  • Status
  • Priority
  • Severity
  • Tester
  • Execution Date
  • Requirement ID
  • Bug ID
  • Notes

Pass rate vs execution progress

The dashboard shows two numbers that are often mixed up:

  • Pass rate = Passed ÷ Executed. How good is what you’ve tested so far?
  • Execution progress = Executed ÷ Planned. How much have you actually tested?

A 90% pass rate with 30% progress tells you very little. Blocked tests are not counted as executed, because they hide risk.

From the regression checklist

  • Login with valid credentials works
  • Login with invalid credentials shows a generic error
  • Logout ends the session (Back button does not restore it)
  • Password reset email is received and link works once
  • Sign-up / registration completes and confirmation email arrives

How it works

From download to your first test run

  1. Open the workbook

Open the .xlsx in Excel, or upload it to Google Drive and choose File → Save as Google Sheets. LibreOffice Calc works too.

  2. Learn from the examples

Read the quick start and look through the 30 example test cases to see the level of detail to aim for, then hide the example sheets.

  3. Write, run and report

Write your own test cases, log bugs, and pick your test sheet on the dashboard. Counts, charts and RTM coverage update as you go.

Who it’s for

Built for people who test software

  • Manual and automation testers who want a clean, consistent way to document tests.
  • Junior QA engineers who want to learn what complete test cases and bug reports look like.
  • Small dev teams and startups without a paid test management tool.
  • Freelance QA testers who need professional deliverables for clients.
  • Developers who have to “do the testing too” and want a structure that works.

Why a spreadsheet?

A test case template in Excel or Google Sheets needs no licences, no sign-up and no setup time. Everyone on the team can open it, and the CSV files make it easy to move into a test management tool later if you outgrow it.

Want a release checklist too? See the Release Readiness & QA Checklist Pack, or get every pack in the bundle.

FAQ

Questions about the QA Test Case Template Pack

Which apps does it work with?

Microsoft Excel 2010 or newer (Windows/Mac/web), Google Sheets and LibreOffice Calc. No macros or add-ons are needed.

How do I use it in Google Sheets?

Upload the .xlsx to Google Drive, open it, then choose File → Save as Google Sheets. Dropdowns, colours and formulas carry over. The included Google Sheets Guide walks through it step by step.

Can I import the test cases into Jira, TestRail or another tool?

Yes. CSV files are included with column names that map easily in most CSV importers. You’ll map the columns to your tool’s fields on its import screen.

Can I use it for client work or at my company?

Yes. You can use it for your own projects, your employer and your clients. You just can’t resell or redistribute the template files themselves (see LICENSE.txt in the download).

Is it beginner-friendly?

Yes. Every sheet has short instructions, the Test Plan has guidance text in each field, and the 30 example test cases show the level of detail to aim for.

How do I get my files?

Right after you pay, Gumroad shows your download link on screen and emails you a receipt with the same link.

Do I get updates?

Major updates or new versions of the pack may be released as a separate paid upgrade.
